The whole workflow, in plain words

Kick off the checklist

Today. Copy last month's checklist spreadsheet, reassign rows by email, and spend the week asking who is done.

With AI. Rolls tasks forward with owners and due dates, ties each one to the trial balance, and flags overdue work and bottlenecks. In: last month's close, your task list and the trial balance. Out: a live checklist that shows what is done, late or blocked.

Who decides. AI-assisted: AI flags bottlenecks, the controller reassigns. AI-run: Tasks roll forward and flag themselves, the controller handles blockers.

Control. Every task has an owner, a due date and a reviewer, and checks off against the reconciled balance instead of on trust.

Match bank and cash

Today. Download bank statements and tick every line against the ledger in Excel.

With AI. Matches one to one, one to many and many to many, and proposes entries for what is left. In: bank feeds and the cash accounts in your ledger. Out: a matched cash account and a short list of open items.

Who decides. AI-assisted: AI matches, a person reviews each match and open item. AI-run: Clean matches close, open items go to a person.

Control. Unmatched items stay open with a reason. Nothing is forced to match.

Tools that do this. Numeric (score 77): cash matching from one to one through many to many, with batch entries for approval (Enterprise tier). FloQast (score 78): AutoRec matches one to one, one to many and many to many sets such as bank recs. QuickBooks Online (score 78): Intuit Assist's Accounting agent automates categorization and reconciliation, and does not post without the user knowing. Book accruals and entries

Today. Rebuild the accrual spreadsheet, key journal entries by hand, and hope someone remembers last month's reversals.

With AI. Drafts accrual and recurring entries and screens every journal for unusual amounts and accounts. In: source data such as POs, payroll and last month's entries. Out: draft entries waiting for approval, with risk flags.

Who decides. AI-assisted: AI drafts, a person approves each entry before it posts. AI-run: Routine entries are drafted and queued, a person approves the posting.

Control. Entries are drafted, never posted, until a person approves. Every journal gets a risk screen.

Reconcile the balance sheet

Today. Update an Excel rec for every balance sheet account, tie it to the ledger by hand, and file support in shared folders.

With AI. Ties each reconciliation to the live ledger, submits the ones inside your materiality, and points to the transactions that broke the rest. In: your workpapers, support and live ledger balances. Out: tied-out recs, and a list of accounts that need a person.

Control. Preparer and reviewer are different people, and every rec keeps its support attached.

Explain the variances

Today. Compare this month to last in Excel, then chase department heads for explanations.

With AI. Surfaces the transactions that drive each variance and drafts commentary against your template. In: this period, last period and the transactions behind them. Out: draft flux commentary, linked to its transactions, for review.

Who decides. AI-assisted: AI drafts, a person edits and approves. AI-run: Drafts under your threshold are accepted, material ones go to a person.

Control. Every explanation links to the transactions behind it, so a reviewer can check it.

Review and sign off

Today. The controller reviews every rec and entry on Sunday night and signs off by email.

With AI. Ranks items by risk, shows what changed since last month, and logs every review step. In: prepared recs, entries and flux drafts. Out: a review queue sorted by risk, with a full audit trail.

Who decides. AI-assisted: The controller reviews with AI's risk ranking. AI-run: A person signs off. Low-risk accounts can auto-certify by rule.

Control. AI never signs off. Reviewer sign-off is a logged step, separate from preparing.

Tools that do this. Numeric (score 77): preparer, reviewer and second reviewer roles, with a full event history on every task. Report and lock the period

Today. Rebuild the management pack in Excel and PowerPoint, then lock the period and hope nobody posts late.

With AI. Runs the statements and management reports, and answers questions about the numbers in plain English. In: the reviewed ledger and last month's package. Out: a draft package ready for the controller to send.

Who decides. AI-assisted: AI builds, a person checks and sends. AI-run: A person locks the period and sends the package, always.

Control. Locking the period is a person's call, and the lock stops late postings.

Tools that do this. NetSuite (score 79): with the AI Connector Service, Claude can run reports and saved searches under a NetSuite role. QuickBooks Online (score 78): Intuit's open-source MCP server runs the P&L, balance sheet and trial balance (early preview). Numeric (score 77): its own MCP server lets Claude read GL data and reports, and read and update close tasks. Workiva (score 82): a number lives in one governed place and flows to every report and filing that cites it.

Close-week requests

“Why is marketing $40k over budget this month?” Finds the transactions behind the variance and writes the answer from the flux drivers. AI-run sends the answer. AI-assisted drafts it for the controller.

“Please send the September bank rec and its support.” Pulls the signed-off rec, its support and the review trail into one package. A person checks and sends anything that leaves the company.

“Can you book the Acme deal in September? It signs on October 2.” Never posts into a closed period. Flags the request and routes it to the controller. The controller, always.
