Xero is a cloud accounting platform for small businesses and the accountants who serve them, sold per organisation with unlimited users, published US pricing, an official open source MCP server, and no consolidation inside the ledger.
Independently scored, one dimension at a time. Every dimension is sourced, and we say whether a claim is published, reported, or estimated.
Every US price is on the pricing page: Early 25, Growing 55 and Established 90 dollars a month, the payroll add on at 36 dollars plus 6 per person, invoice and bill caps on Early, and the promo terms (90 percent off for 6 months to 30 September 2026). Xero also published the October 1, 2026 increase to 27, 59 and 97 dollars in advance (xero.com/us/pricing-plans/update, read 2026-09-05). Points off because Inventory Plus is listed as optional with no price, payment fees sit outside the subscription, and a downgrade is only allowed one month after an upgrade.
Self serve: the US pricing page promises free expert setup help and a product specialist for the first 90 days, and the product updates page cites 600 plus US direct bank feeds and PDF statement import averaging 35 seconds (vendor claimed, xero.com/us/product-updates, 2026-09-05). A Demo Company with sample data is available for trials (MCP server README). Time to live is hours for a clean start and days when historical transactions and conversion balances have to be rebuilt; migrating history from QuickBooks Online is where the effort sits.
The Accounting API spec lists 31 endpoint groups across 138 paths (Xero OpenAPI on GitHub, read 2026-09-05), OAuth 2.0 with granular scopes from April 29, 2026 (MCP README), and published limits of 5 concurrent, 60 a minute and 5,000 a day per organisation plus 10,000 a minute per app (developer.xero.com/faq/limits). Webhooks are documented and covered in the xero-node SDK README. The App Store advertises 1000 plus apps and the product updates page 600 plus US bank feeds. The 5,000 a day cap is the constraint high volume integrations hit first.
Xero publishes an official open source MCP server (github.com/XeroAPI/xero-mcp-server, MIT, 95 commits and 359 stars on 2026-09-05) shipped as the npm package @xeroapi/xero-mcp-server with a documented Claude Desktop configuration and about 50 tools: list, create and update across invoices, contacts, bank transactions, manual journals, payments, quotes, credit notes, items and tracking categories, plus the profit and loss, balance sheet, trial balance and aged reports. JAX, the in product assistant, is available to all subscribers at no additional charge and follows user permissions (xero.com/us/ai-in-accounting/jax). Held back because the server has no delete tools for accounting objects, payroll tools cover NZ and UK only, the repo shows 50 open issues and 70 open pull requests, and every call counts against the 60 a minute and 5,000 a day limits.
Every transaction carries history and notes (the Accounting API spec exposes HistoryRecords on 65 endpoints) and the organisation carries two lock dates, PeriodLockDate and EndOfYearLockDate, per the Xero OpenAPI spec read 2026-09-05. Sales tax, W-9 and 1099 management and a fixed asset register are on every US plan (xero.com/us/pricing-plans, 2026-09-05). Multi currency is gated to the 90 dollar Established plan, and there is no revenue recognition module, no intercompany or consolidation inside the ledger, and no approval workflow for journals, so a controller layers controls on top rather than inside.
No per user license fees and unlimited users on every plan (US pricing page, 2026-09-05) removes the seat ceiling that pushes QuickBooks Online customers up a tier. The ceilings are elsewhere: one organisation per subscription, an Early plan capped at 20 invoices and 5 bills a month, an inventory list of up to 4,000 items (xero.com/us/accounting-software/manage-inventory), and an API budget of 5,000 calls a day per organisation (developer.xero.com/faq/limits). Groups run several subscriptions and consolidate outside, and the multi organisation discount is being phased out from October 1, 2026 (xero.com/us/pricing-plans/update).
Report layouts can be edited by dragging rows and columns, adding formulas and tracking categories, with budget versus actual built in (xero.com/us/accounting-software/run-financial-reports, 2026-09-05). Xero added a bank reconciliation detail report to help close each period (product updates page) and two lock dates hold the period. There is no close checklist, no consolidation inside the ledger, and KPI and benchmarking analytics are on Established only; group reporting goes to Syft (4.81 stars from 476 App Store reviews) or a spreadsheet.
Xero's own support page states it offers free and unlimited online support through Xero Central and can call a customer back, but does not offer inbound phone support (xero.com/us/support, 2026-09-05). US customers get a free Xero coach for the first 90 days (US pricing page). Review evidence is mixed: Trustpilot shows 4.1 from 11,311 reviews with 65 percent five star and 17 percent one star (read 2026-09-05), and GetApp's summary puts customer support sentiment at 42 percent positive against 88 percent for the interface. The 250,000 strong accountant and bookkeeper partner base (xero.com nav, 2026-09-05) is the practical support layer.

Xero is best understood as the small business cloud ledger built for an accountant and a client to share, not as an ERP. What you are really buying is a clean general ledger with bank feeds and reconciliation as the core workflow, unlimited users on every plan, published pricing that includes the next increase, a 1000 plus app marketplace, and an official open source MCP server that lets an agent read and write invoices, contacts, journals and reports. In the US it is priced at 25, 55 and 90 dollars a month per organisation and comes with a free product specialist for the first 90 days (published, checked 2026-09-05).
The catch is what sits outside the ledger. Support is online first with callbacks and no inbound phone line, multi currency and projects are gated to the top tier, each entity is its own subscription with no consolidation inside the product, there is no revenue recognition module or close checklist, and the API allows 5,000 calls a day per organisation. Review sites reflect the trade: strong marks for ease of use and reconciliation, weak marks for support (Trustpilot 4.1 from 11,311 reviews with 17 percent one star; GetApp support sentiment 42 percent positive, both read 2026-09-05).
Before signing, confirm in writing: the price that applies after October 1, 2026 (27, 59 and 97 dollars) and whether any promo code survives it; that the multi organisation discount is ending for a group; which plan carries multi currency; that Xero Payroll, powered by Gusto, is positioned for teams of 1 to 20; how Inventory Plus and payment fees are billed; and, for any integration or agent, that the 60 a minute and 5,000 a day API limits fit the transaction volume.
Jobs, mapped to how finance teams actually buy.
Forget the 40-row feature grid. Pick a finance workflow and see how this tool and its closest peers actually do it, with our verdict on who wins for whom.
Here's what it really costs: published rates where a vendor lists them, aggregated quote data where they don't, plus a path to your own number.
Send quotes and 20 invoices, enter 5 bills, reconcile bank transactions, Smart Document Capture, sales tax, W-9 and 1099 management and a 30 day cash flow forecast. Invoice limits count transactions initiated by app partners.
Unlimited invoices and bills, auto reconcile, 60 day cash flow forecast, customizable dashboards, financial health scorecards and 3 budgets. Multi currency, projects and expense claims are not included.
Adds multi currency, projects, employee expense and mileage claims, a 180 day cash flow forecast, KPI and ratio analysis, industry benchmarking, unlimited budgets and international bill payments.
Optional add on on every plan: full service payroll, automated tax filings, W-2s and 1099s in all 50 states. Xero positions it for teams of 1 to 20 people, so a larger employer runs payroll elsewhere.
Multi channel inventory for Shopify and Amazon FBA sellers. Online invoice payment fees and non ACH bill payment fees also sit outside the subscription and are excluded from promotional discounts.
Xero's support page states it offers free and unlimited online support and can call a customer back, but does not offer inbound phone support (xero.com/us/support, 2026-09-05). Plan for a partner accountant or bookkeeper as the practical escalation path (published).
On the US pricing page multi currency is only included on the 90 dollar Established plan, and the same is true of projects, expense claims, KPI analysis and industry benchmarking (2026-09-05). A business with any foreign currency invoice or bill starts at the top tier (published).
Early allows 20 invoices and 5 bills a month, and the pricing footnote says transactions initiated by app partners may automatically contribute to the invoice limit (US pricing page, 2026-09-05). An ecommerce connector can exhaust the cap in a day (published).
Each Xero organisation is its own subscription with no consolidation inside the ledger; group reporting goes to Syft or a spreadsheet. The multi organisation discount is being phased out from October 1, 2026 (xero.com/us/pricing-plans/update, 2026-09-05), so a group's bill rises twice (published).
US prices rise to 27, 59 and 97 dollars on October 1, 2026 for new and existing subscribers. Payroll (36 dollars plus 6 per person), online payment fees and Inventory Plus all sit outside the base price, and a downgrade is only permitted one month after an upgrade (xero.com pricing pages, 2026-09-05, published).
Scored on what an outside agent can actually reach: the documented API, how it authenticates, and whether the vendor ships an MCP server.
Xero ships two things that matter here. First, an official open source MCP server (github.com/XeroAPI/xero-mcp-server, MIT licensed, published to npm as @xeroapi/xero-mcp-server) that exposes about 50 tools: list, create and update for invoices, contacts, bank transactions, manual journals, payments, quotes, credit notes, items and tracking categories, plus profit and loss, balance sheet, trial balance and aged receivables and payables reports. The README documents a Claude Desktop configuration and authenticates through a Xero custom connection or a bearer token (published, read 2026-09-05).
Second, JAX, the in product assistant, which answers questions about the organisation's financials, creates invoices from instructions, and follows the user's existing Xero permissions. It is available to every subscriber at no additional charge, with Xero reserving the right to change that (published).
Caveats: the server has no delete tools for accounting objects and its payroll tools cover NZ and UK only; the repository showed 50 open issues and 70 open pull requests on 2026-09-05; and every agent call counts against the published limits of 60 calls a minute and 5,000 a day per organisation (developer.xero.com/faq/limits). Granular scopes replaced bundled scopes for custom connections created from April 29, 2026 (published).

Xero is priced per organisation, not per user, so a 100 person company pays the same base subscription as a 10 person one: 90 dollars a month on Established (the only US tier with multi currency, projects and expense claims), rising to 97 dollars on October 1, 2026 (published). The extras are where the bill grows: Xero Payroll, powered by Gusto, is 36 dollars a month plus 6 dollars per employee or contractor and is positioned for teams of 1 to 20, so a 100 person employer typically runs payroll elsewhere; online payment fees, non ACH bill payment fees and Inventory Plus sit outside the subscription (published). Budget for the annual price move: the US pricing page carries the next increase in advance.
Xero subscriptions auto renew monthly until cancelled, with no annual contract, and the invoice arrives at the end of each monthly billing period (published). Two terms matter on the way out or down: a move to a cheaper plan is only allowed one month after upgrading, and promotional discounts do not apply to add ons, usage or payment fees. From October 1, 2026 the multi organisation discount is being phased out, so a group holding several subscriptions should expect each to bill at list (published). Pricing can change on notice under the terms of use, which is how the October 2026 increase arrived.
Xero is self serve. The US pricing page promises free expert setup help and a product specialist (a Xero coach) for the first 90 days, the product updates page cites 600 plus US direct bank feeds and PDF statement import averaging 35 seconds, and a Demo Company with sample data is available for trials (vendor claimed). A clean start goes live in hours. What stretches it to days or weeks is history: conversion balances, open invoices and bills, and reconciled bank history have to be rebuilt or imported, and migrating from QuickBooks Online is usually done with a partner accountant. Sandbox is the Demo Company, which can be reset at any time (published).
Yes, within limits. Xero publishes an official open source MCP server (github.com/XeroAPI/xero-mcp-server, npm package @xeroapi/xero-mcp-server) with about 50 tools that let an agent such as Claude list, create and update invoices, contacts, bank transactions, manual journals, payments, quotes, credit notes and items, and pull the profit and loss, balance sheet, trial balance and aged reports, with a documented Claude Desktop configuration (published, read 2026-09-05). JAX, the in product assistant, answers questions and creates invoices for every subscriber at no extra charge. What still needs a human: deleting or voiding records, setting lock dates, US payroll (the MCP payroll tools cover NZ and UK only), and interactive bank reconciliation; every call also counts against 60 a minute and 5,000 a day per organisation (published).
