Zoho Expense is the travel and expense app in the Zoho suite: receipt capture, card feeds, approvals, audits and reimbursement, plus US travel booking and a prepaid card, for small and mid-sized firms at $3 to $5 per user a month.
Independently scored, one dimension at a time. Every dimension is sourced, and we say whether a claim is published, reported, or estimated.
Plan prices, the travel add-on, Premium Support, Jumpstart and per-plan API limits are all published, with separate price tables for the UK, Canada, Australia and India (checked 27 September 2026). Deductions: ERP connector add-ons, Enterprise and active-user rates are quote only, the prepaid card has no published fee schedule, and the pricing and comparison pages disagree on SSO and fraud detection.
Signup is self-serve with a 14-day trial and no card, and Zoho says small businesses go live in days and multi-entity rollouts in a few weeks (pricing and FAQ pages, 27 September 2026). Jumpstart onboarding starts at $500 a year and covers ERP and HRMS integration setup. Deductions: the sandbox is early access, and online booking needs a request that Zoho evaluates before it can be enabled.
Zoho MCP, a hosted first-party product launched 9 March 2026, reaches Zoho Expense with read and write tools such as create expense, approve report or trip and reimburse report, at a $0 license (help and MCP pricing pages, 27 September 2026). It is admin-configured: someone builds a server, picks tools and pastes a key-bearing URL into Claude, and Zoho Expense was absent from Claude's connector directory. In-app, Ask Zia and analytics AI are documented, while the approval and reporting agents are announced but undocumented.
The audit help article lists nine predefined audits: receipt, card statement, exchange rate, merchant blacklist, GPS mileage, alcohol and tobacco, unauthorized expense, duplicate invoice number and manually recorded expense (read 27 September 2026). The comparison page shows SOC 2 Type 2, ISO 27001 and PCI DSS on every plan, and the FAQ adds SOC 1 Type II. Custom rules (5 per policy), blocking rules and the auditor role sit on Premium only; fraud detection is listed under Standard on the pricing page but under Premium on the comparison page, and there is no PO matching.
The pricing page offers 17 regional editions, multi-entity and multi-country management on Premium, and real-time card feeds in 12 countries (checked 27 September 2026). The Enterprise plan needs at least 500 users, and Zoho cites Puma and IFFCO Group as multi-country customers. What breaks first: ACH payouts stop at the US and Canada, each QuickBooks or Xero org maps to one Zoho Expense org, and Standard caps the API at 2,000 calls a day.
Email support comes on every plan and phone from Standard; the FAQ gives an 8x5 Classic tier with an 8-hour response target (read 27 September 2026). Premium Support costs $490 a year or 20 percent of the license fee, whichever is higher, for 24x5 cover and a 3-hour target. The FAQ says a dedicated account manager needs the Enterprise plan, while the pricing page lists dedicated relationship manager support inside Premium Support and the comparison page marks a dedicated account manager as paid on Premium, so get it in writing. Capterra rates customer service 4.5 of 5 (reported).
QuickBooks Online and Xero connectors import accounts, customers and classes or tracking categories, export bills, journals and card transactions, and auto-sync daily with an instant-sync button (help center, 27 September 2026). Zoho Books and QuickBooks Desktop are also native. NetSuite, SAP, Oracle and Microsoft Dynamics are listed only as add-ons with no help article, and Sage Intacct depends on a Commercient connector.
ACH reimbursement runs through a CSG Forte merchant account, only in the US and Canada editions, and takes 3 to 5 business days; ACH cannot collect employee refunds (help center, 27 September 2026). Other options are bank file export, batch reimbursement through HSBC in the India edition, and paying reimbursements with salary through Zoho Payroll. The Zoho Prepaid Mastercard, issued by Pathward for US firms, has no published rebate, and bill pay lives in separate Zoho Spend modules.
Written by the Audit Friendly research team. No vendor edits, no sponsored placement.
Zoho Expense covers the employee spend loop for $3 to $5 per user a month on annual US billing (published, checked 27 September 2026). That buys receipt capture in 38+ languages, real-time Visa and Mastercard feeds, multi-level approvals, nine predefined audits, cash advances and per diem. The 9 September 2026 relaunch folded online travel booking (open to US edition admins by request since 6 March 2026) into the product, launched a Zoho Prepaid Mastercard issued by Pathward for US organizations, and announced Zia agents for approvals and reporting that had no help article on 27 September 2026. Zoho MCP lets Claude create, approve and reimburse in Zoho Expense at no extra license cost.
The catch sits at the edges: the ledger and the bank. Native accounting sync covers QuickBooks Online, Xero, Zoho Books and QuickBooks Desktop. NetSuite, SAP, Oracle and Microsoft Dynamics appear only as add-ons with no published price or help article, and Sage Intacct runs through a third party. ACH reimbursement works only in the US and Canada editions and takes 3 to 5 business days. The prepaid card launched on 9 September 2026, and the Zia approval and reporting agents announced that day had no help article on 27 September 2026.
Get these in writing before signing: the price and scope of any ERP add-on, whether the $9.99 per trip travel fee applies on Premium, and which plan includes SSO and fraud detection, since the pricing and comparison pages disagree. Ask for the daily API allowance your MCP use will draw on. For a multi-entity rollout, ask Zoho to switch on the sandbox, which is still early access.
Jobs, mapped to how finance teams actually buy.
The Free plan includes receipt scanning, expense reports and QuickBooks Online, Xero or Zoho Books sync (published, checked 27 September 2026); the pricing page and FAQ also list GPS mileage, though the comparison page places GPS tracking on Standard. The ceilings are 3 users and 20 scans per user a month, which is the usual trigger to move to Standard.
Audits check receipts against the claim, card statements, exchange rates, blacklisted merchants, GPS mileage, alcohol and tobacco, duplicate invoice numbers and manual entries, and flag violations on the report. Several of these checks and the auditor role need Premium.
Zoho Expense pulls Visa and Mastercard transactions in real time and Amex and AirPlus through direct feeds, then auto-matches them to receipts (corporate card page, checked 27 September 2026). Companies keep their bank and card program, and US firms can add the Zoho Prepaid Mastercard.
Premium includes online booking with policy warnings or blocks at the point of booking and 1.6M+ hotels, according to Zoho. Access must be requested and approved first, and the $9.99 per trip travel add-on may apply.
With Zoho MCP, a finance lead can ask Claude to list submitted reports, find approved trips with no linked expenses, and approve or reimburse, with every call logged. The admin chooses which tools Claude gets, and calls count against the daily API limit.
Forget the 40-row feature grid. Pick a finance workflow and see how this tool and its closest peers actually do it, with our verdict on who wins for whom.
Here's what it really costs: published rates where a vendor lists them, aggregated quote data where they don't, plus a path to your own number.
Receipt capture with 20 Autoscans per user a month, expense reports, QuickBooks Online, Xero and Zoho Books sync, basic audit trail and the Zoho Expense MCP. The pricing page and FAQ list GPS mileage on Free, but the comparison page places GPS tracking on Standard (checked 27 September 2026).
Adds corporate card feeds, custom and parallel approvals, duplicate detection, ACH reimbursement, 200 scans per user a month, Ask Zia and phone support. Minimum 3 users.
Adds online travel booking, per diem automation, budgets, multi-entity and multi-country management, custom and blocking rules, and 1,000 scans. The pricing page lists AI fraud and alcohol detection under Standard, while the comparison page places fraud detection and liquor and tobacco detection here (both checked 27 September 2026).
Custom plan for large organizations. The FAQ says a dedicated account manager is available only here, though the pricing page sells dedicated relationship manager support inside Premium Support (checked 27 September 2026).
Self-booking from Zoho's flight and hotel inventory with 24/7 support. The online booking help has admins buy a number of trips for other users, which suggests the fee also applies to Premium bookings; confirm in writing (checked 27 September 2026).
24x5 email, phone and live chat with a 3-hour response target and 45 days of guided onboarding; the FAQ sets it at $490 or 20 percent of license fees, whichever is higher.
Dedicated product expert, ERP, HRMS and accounting integration setup, training and hypercare. The US pricing page lists it as from $500 a year while the FAQ says from $500, so confirm whether it recurs (checked 27 September 2026).
NetSuite, SAP, Oracle and Microsoft Dynamics are marked Add-on on Standard and Premium with no published price.
Included with any Zoho account; calls count against the plan's API limits.
The US pricing page lists SSO and AI fraud and alcohol detection under Standard, while the plan comparison page shows SSO, fraud detection, and liquor and tobacco detection on Premium only (both read 27 September 2026). On cards, the FAQ contradicts itself: one answer says Zoho Expense reads existing card feeds rather than issuing cards, another says it issues prepaid corporate cards through Pine Labs, and the pricing page and the 9 September 2026 blog launch the Zoho Prepaid Mastercard issued by Pathward for US organizations. Put the plan that includes each control in the order form.
The comparison page marks Oracle, SAP, NetSuite and Microsoft Dynamics as Add-on on Standard and Premium, and the help center documents only Zoho Books, QuickBooks Online, QuickBooks Desktop, Xero and Sage Accounting (checked 27 September 2026). The FAQ says these ERP links run through the REST API, connector add-ons or partners, often built during Jumpstart. Sage Intacct is offered by a third party, Commercient. Ask for the connector's sync direction, dimensions and price before signing.
ACH reimbursement is available only in the US and Canada editions, runs through a CSG Forte merchant application that takes 3 to 5 business days to approve, and then takes about 3 to 5 business days per payment (help center, 27 September 2026). ACH cannot collect refunds from employees, and undoing a payment means emailing support. Elsewhere, plan on bank file exports or payroll.
The subscription help says Standard and Premium need at least 3 users and Enterprise at least 500, and gives the example that buying 10 seats with 5 active users still bills 10 (read 27 September 2026). Active-user pricing exists but is quote only. Downgrading to Free keeps data but marks all but 3 users inactive.
Zoho's MCP guide says the server URL embeds an API key, warns to treat it like a password, and says regenerating it disconnects every client (read 27 September 2026). Each new tool means disconnecting and reconnecting the Claude connector. Calls draw on the Expense API quota, 2,000 a day on Standard, which also serves any other integrations.
Scored on what an outside agent can actually reach: the documented API, how it authenticates, and whether the vendor ships an MCP server.
Inside the product, Zia reads receipts in 38+ languages, answers questions through Ask Zia, answers policy questions from uploaded travel policy documents, drafts email templates, and adds forecasting, anomaly detection and insights to three analytics reports (AI Features help, read 27 September 2026). Admins switch each feature on and pick an AI provider and model per feature. The Approval Agent and Reporting Agent were announced with the 9 September 2026 relaunch and appear on the pricing page, but the AI Features help article did not list them on 27 September 2026, so their fast-track approval claims are vendor-claimed until documented.
Exists: yes. Zoho Expense is one of the services in Zoho MCP, Zoho's hosted first-party MCP product, publicly launched on 9 March 2026; Zoho announced the Expense connection on 7 August 2026. The MCP license is $0, and calls draw on the Zoho Expense API quota: 100 requests a minute per organization, and 1,000, 2,000 or 10,000 a day on Free, Standard and Premium.
Scope: read and write. Each tool maps to one Expense API call, and Zoho's help names tools such as Create Expense Categories, List Users, Approve Expense Report, Get Trip, List Trips, Approve Trip and Merge Expenses, and says the connection can create expenses and reports, reimburse reports and manage trips. Every call is logged with the tool, status, Zoho user ID and an execution ID. Read-only use means enabling only read tools.
Turnkey: no. An admin creates a server in the Zoho MCP console, picks tools, and pastes a server URL that embeds an API key into Claude as a custom connector; Zoho's guide says that on Claude Team or higher plans this step needs a Claude organization admin, after which every member of the Claude organization can use the connector. Zoho Expense was not in Claude's connector directory or the official MCP registry on 27 September 2026, while Zoho Books and Zoho CRM were in the directory. Connections can run per user or through one admin-managed OAuth connection.
Who wins for whom: A US small business that wants nine predefined audits and parallel approvals from $3 per user a month: Zoho Expense. A team that wants duplicate detection from $5 per member and multi-level approvals on Control: Expensify. A European group that needs per diem, mileage and tax rules for 80+ countries plus certified paperless expensing in Germany and Italy: Rydoo.
Nine built-in audits per report. Nine predefined audits cover checks such as receipts, card statements, exchange rates, blacklisted merchants, GPS mileage and duplicate invoice numbers, and Standard, $3 per user a month on the US annual list, adds custom and parallel approvals.
Where it loses: Custom rules, capped at 5 per policy, blocking rules and the auditor role need Premium, and the pricing and comparison pages disagree on whether fraud detection and SSO sit on Standard or Premium.

Multi-level approvals on Control. Control workspaces get multi-level approvals, custom expense rules, SAML SSO and an always-on Receipt Audit, duplicate detection runs on Collect and Control, and SOC 1 and SOC 2 Type 2 reports are available on request.
Where it loses: Collect, the $5 per member plan, lacks multi-level approvals and custom rules, so policy depth needs Control at $18 per member a month on an annual commitment.

Local rules plus Smart Audit. Rydoo carries tax, per diem and mileage data for 80+ countries with certified paperless expensing in Germany and Italy, and Enterprise's Smart Audit flags duplicates, AI-generated receipts, out-of-policy items and attendee conflicts before review.
Where it loses: Smart Audit and advanced workflows need Enterprise, which is quote only from 50 active users, Essentials allows a single approval level and Pro two, and no SOC 1 report is named.

Who wins for whom: A US or Canadian small business paying staff by ACH, or with salary through Zoho Payroll: Zoho Expense. A team paying staff by ACH on a $5 per member plan, with global payouts to 190+ countries: Expensify. A European company paying staff from EUR or GBP wallets with four-eye approval: Rydoo.
ACH in the US and Canada. Standard adds ACH reimbursement through CSG Forte in the US and Canada editions, taking 3 to 5 business days, and other routes are bank file export, HSBC batches in the India edition and salary through Zoho Payroll.
Where it loses: The CSG Forte merchant application takes 3 to 5 business days to approve, ACH cannot collect refunds from employees, undoing a payment means emailing support, and ACH is unavailable outside the US and Canada.

ACH reimbursement, 190+ countries. Collect at $5 per member a month includes ACH reimbursement, typically 4 to 5 business days or next business day under $100, and global reimbursement reaches 190+ countries, usually in 2 to 3 business days.
Where it loses: One-day Rapid Reimbursement applies only to payments under $100 when withdrawals stay under $10,000 in 24 hours, and FX and receiving-bank fees can reduce global payouts.

Wallet payouts with four-eye approval. From the Business tier, Rydoo pays employees from prepaid EUR or GBP wallets with four-eye approval and SMS authorisation, and Wise and Deel integrations cover other currencies.
Where it loses: Wallets are EUR or GBP only, card, FX and reimbursement fees are unpublished, and in-app reimbursement starts on quote-only Business, from 30 active users.

The release made online booking, open to US edition admins by request since 6 March 2026, native to the product and brought the Zoho Prepaid Mastercard for US organizations, parallel approvals and team dashboards. It also announced the Zia Approval Agent and Reporting Agent, which had no help article on 27 September 2026.
Zoho published its Zoho Expense MCP launch post, pointing buyers to the Expense API for the actions AI tools can perform. An official video had called the product MCP-ready on 3 June 2026.
Admins got a page under Organization settings to switch individual AI features on or off to match company policy.
Zoho announced Zoho MCP as a product that lets AI models act across Zoho apps. Its pricing page lists the license at $0 on existing API quotas.
Admins can request online booking and set policies with limits that warn or block out-of-policy flight and hotel bookings.
The announcement exposed actions from more than 15 Zoho apps in early access and said general availability was expected toward the end of 2025.
At US list prices checked 27 September 2026, 50 users on Standard cost about $1,800 a year billed annually or $2,400 billed monthly. Premium, which adds travel booking, budgets, multi-entity management and the stricter audits, costs about $3,000 a year annually or $3,600 monthly (Audit Friendly estimate from published per-user prices).
Add Premium Support if you want 24x5 cover: $490 a year or 20 percent of the license fee, whichever is higher, which is about $600 on a $3,000 Premium subscription. Jumpstart onboarding starts at $500 a year, and ERP connector add-ons are quote only. Prices differ in the UK, Canada, Australia and India editions.
Zoho calls the service pay-as-you-go with no contract, and says you can start and stop the subscription any time (pricing page, 27 September 2026). Billing follows the seats you buy, and downgrading to Free keeps your data but limits access to 3 users.
Admins can back up all organization data as a compressed file from Settings; the download link expires after 30 days, and a new backup cannot run for 15 days. Approved receipts export separately as a ZIP, and reports export to PDF, Excel or CSV.
Zoho says a small business can be running in days and a multi-entity rollout with ERP or HRMS connectors typically takes a few weeks, up to a couple of months for enterprises (FAQ, 27 September 2026). Most small teams self-serve with the 14-day trial.
Larger rollouts use Jumpstart (from $500 a year), which assigns a product expert for integrations, training and hypercare, or a Zoho partner. The sandbox for testing configuration is still early access and must be requested from support.
Yes, through Zoho MCP, Zoho's first-party hosted MCP product. An admin creates a server in the Zoho MCP console, selects Zoho Expense tools such as create expense, approve report or trip and reimburse report, and adds the generated server URL to Claude as a custom connector. The MCP license is $0.
It is admin-configured: Zoho Expense was not in Claude's connector directory on 27 September 2026, the URL carries an API key, and every call counts against the plan's API limit of 1,000, 2,000 or 10,000 calls a day. Calls are logged by tool, user and execution ID.
