Step by step

The whole workflow, in plain words

Collect hours and changes

Today. Chase timesheets by text and email, and hear about raises, new hires and leavers in passing.

With AI. Texts people for missing hours, checks the time data, and pulls in hires, raises and leavers. In: timesheets, schedules and HR changes since the last run. Out: complete hours and a list of changes for this run.

Who decides. AI-assisted: AI collects and checks, a manager approves the hours. AI-run: Approved hours flow in, gaps go to the manager.

Control. Managers approve hours before they reach payroll, and every pay change needs a written approval.

Tools that do this. QuickBooks Payroll (score 68): its Payroll Agent texts employees to collect hours and validates the time data. Paychex (score 71): its WISE agents approve timesheets within workflows you define (announced May 2026). Rippling (score 68): webhooks fire when an employee is hired, updated or terminated, so an agent can react to the change.

Set up hires and new states

Today. Key in each new hire's W-4 and pay details, then find out a state tax account is missing when the first paycheck is due.

With AI. Checks every new hire's tax setup, flags work states with no tax account, and starts the registration. In: new hires, their work locations and your existing tax accounts. Out: hires ready to pay, or a flag with what is missing.

Who decides. AI-assisted: AI flags the gaps, a person files each registration. AI-run: Registrations start on hire, a person clears what is held.

Control. Nobody is paid until their tax setup is complete, and employees enter their own bank details.

Tools that do this. Warp (score 79): its agents open a new state's tax accounts when you hire there (company-reported). ADP (score 84): its Assist agents flag missing state and local tax IDs and guide registration. Justworks (score 76): as a PEO, it files state unemployment under its own accounts in PEO-reporting states.

Calculate the pay run

Today. Enter hours, overtime and deductions into the payroll screen and compare the totals with last period by eye.

With AI. Calculates gross to net, prorates joiners and leavers, and applies the taxes for each work state. In: approved hours, pay rates, deductions and changes. Out: a payroll draft, ready to check.

Who decides. AI-assisted: AI builds the draft, the admin reviews it. AI-run: AI builds the draft, only exceptions stop for the admin.

Control. Pay rates change only through an approved change record, never in the pay run itself.

Tools that do this. QuickBooks Payroll (score 68): its Payroll Agent hands the admin a ready-to-approve payroll draft. Deel (score 81): added automatic prorated pay for mid-cycle joiners and leavers (PEO) and scheduled payroll auto-submission. Rippling (score 68): calculates payroll taxes for multi-state employees, including reciprocity.

Check for anomalies

Today. Scan the payroll register for anything that looks off, if there is time before the cutoff.

With AI. Compares every paycheck with past runs, flags outliers like doubled hours, missing deductions or pay for someone who left, and suggests a fix. In: the payroll draft and past pay runs. Out: a clean run, or exceptions with the reason.

Who decides. AI-assisted: AI flags outliers, the admin clears each one. AI-run: Clean paychecks pass, exceptions go to the admin.

Control. Every flagged paycheck is fixed or cleared by a person before the run goes for approval.

Tools that do this. Deel (score 81): its Payroll Detective agent flags payroll anomalies before payout (beta, with a person in the loop). ADP (score 84): its Assist agents audit payroll for variances and suggest fixes, under human oversight. Paycom (score 73): employees check their own paychecks in Beti and fix issues before checks are cut. UKG (score 74): compares each run with up to five years of payroll history and flags deviations before commit.

Approve and release pay

Today. The person who built the payroll also approves it, often minutes before the bank cutoff.

With AI. Summarises totals, changes since the last run and cleared exceptions on one screen, and routes it to the approver before the cutoff. In: the checked payroll and its cleared exceptions. Out: a one-click approval with every change in view.

Who decides. AI-assisted: A named approver releases it, with every change in view. AI-run: A named approver releases it, always.

Control. The person who prepares payroll can't release it, and nothing is paid without that approval.

Tools that do this. Gusto (score 74): its Cofounder AI teammate can run payroll only after an approval (early access). QuickBooks Payroll (score 68): its Premium and Elite plans pay by same-day direct deposit, so cash stays in your account until payday morning. Paylocity (score 73): controllers keep sign-off on each run while the platform tracks filing status. Payworks (score 80): its Payroll Assist tier has experts review your runs while you keep control.

File and pay payroll taxes

Today. Log in to agency portals, make deposits on the right schedule, and dig through notices that arrive by mail.

With AI. Files and pays federal, state and local payroll taxes on schedule, and matches tax notices to the filings behind them. In: the released payroll and your tax accounts. Out: filed returns and paid deposits, with notices sorted.

Who decides. AI-assisted: AI files and drafts notice replies, a person approves them. AI-run: Filings go out on schedule, notices go to a person.

Control. Tax payments go only to agency accounts on file, and every notice gets a named owner.

Tools that do this. Gusto (score 74): files and pays federal, state and local payroll taxes in every state, with no extra fee for multi-state. QuickBooks Payroll (score 68): tax payments and filings are automatic on every plan, with taxes debited at each pay run. Wagepoint (score 79): files T4 and T4A slips with the CRA and RL-1 slips with Revenu Quebec, though you still file the RL-1 summary. Warp (score 79): its agents triage and resolve tax notices (company-reported).

Book the journal entry

Today. Export the payroll register, key a journal entry into QuickBooks, and chase the difference on the liability account.

With AI. Posts wages, taxes and deductions to mapped accounts by department or class, and flags lines that don't map. In: the released payroll and your chart of accounts. Out: a balanced journal entry in your books.

Who decides. AI-assisted: AI posts the entry, a person reviews the mapping. AI-run: Entries post themselves, unmapped lines go to a person.

Control. Payroll posts only through the integration, and the payroll liability accounts are reconciled every month.

Tools that do this. QuickBooks Payroll (score 68): paychecks, employer taxes and liabilities post straight to the QuickBooks Online ledger with no mapping. Gusto (score 74): posts balanced journal entries to QuickBooks Online or Xero, with detail by earnings type, department and class. Paychex (score 71): its General Ledger Service posts journal entries to QuickBooks Online, Xero, Sage Intacct and NetSuite when payroll is released (Pro tier and up). Wagepoint (score 79): maps payroll expenses and liabilities to your QuickBooks Online chart of accounts, down to sub-accounts.

Payroll questions

“How many vacation hours do I have left?” Reads the time-off balance and the accrual schedule and writes the answer. AI-run sends the answer. AI-assisted drafts it for the payroll admin.

“Dev worked 6 hours of overtime last week that aren't on his timesheet. Can they go on this run?” Drafts the timesheet correction and sends it to the manager to approve. The manager approves every change to hours.

“I switched banks. Can you change my direct deposit before Friday's payroll?” Never changes bank details from a message. Points the employee to verified self-service and flags the request. The employee through self-service, and the payroll admin, always.

Tools that do this. Gusto (score 74): its official MCP server lets Claude read payroll and timesheet data, but not change anything. isolved (score 72): its Claude connector lets employees check leave balances and submit time-off requests that Claude confirms first. Remote (score 87): its MCP server lets Claude read payroll deadlines and time off balances, scoped to the user's own role. ADP (score 84): its Assist agents answer policy questions grounded in the company's own handbook.
