Maxio is a billing, revenue recognition and SaaS metrics platform for B2B SaaS and AI companies, built from the former Chargify and SaaSOptics products and priced from $599 a month for finance teams that have outgrown spreadsheets and basic billing tools.
Independently scored, one dimension at a time. Every dimension is sourced, and we say whether a claim is published, reported, or estimated.
The platform covers quoting (Maxio CPQ), subscription, usage, milestone and hybrid billing, invoicing, a billing portal, payments through Maxio Payments or 21 gateways, card surcharging, dunning and collection cadences, ASC 606 and IFRS 15 revenue recognition and SaaS metrics (pricing page and docs, checked 11 October 2026). Mandate e-invoicing, meaning clearance with tax authorities, runs through an Avalara add-on. Credit applications, credit scoring, lockbox and bank-file cash application and deductions management are absent from the product pages and docs.
Maxio's security page states annual SOC 1 Type 2 and SOC 2 Type 2 audits, ISO/IEC 27001:2022 certification, PCI DSS 4.0.1 compliance and EU-U.S. Data Privacy Framework certification, and its payments page states PCI DSS level 1 (checked 11 October 2026). Maxio Core has closing dates and transaction lock dates, SSP lists, carve-outs and multiple revenue books, and since 6 October 2026 records name the AI agent and person behind a change made through MCP. Enterprise SSO and EU hosting are add-ons, and data is kept for up to 60 days after termination.
Maxio MCP is first-party and was announced as generally available on 11 December 2025. The docs list 29 tools across Advanced Billing and Maxio Core, with a read-only Analyst role and a Bookkeeper role that adds seven create tools. An administrator configures it, but Maxio must enable the feature first and SSO is required. No in-product AI assistant is documented, and the Maxio Core API is an add-on with its reference published only inside the app.
The integrations page lists 21 native connectors, including QuickBooks Online and Desktop, Xero, NetSuite, Sage Intacct, Rillet, Salesforce, HubSpot and Pipedrive, plus 21 payment gateways (checked 11 October 2026). ERP sync steps run in either direction per record type, and Advanced Revenue Summary GL Sync posts summary journal entries to six ledgers, with dimension mapping on five of them. Microsoft Dynamics 365, SAP, Oracle and Workday are not listed, and data warehouse loads rely on exports, the API or partner tools such as Airbyte.
Maxio says implementations typically take weeks, and its VERO case study describes a two-week go-live on the Rapid Start program with partner Kruze Consulting. The docs split migration into a self-serve CSV import of about 200 basic subscriptions per file and an onboarding-assisted route that needs an onboarding package. Accounts can clone sandbox sites and hold up to 10 test sites. Two products have to be configured and connected, and SSO, Metering and MCP each need Maxio to enable them.
The help center publishes response targets: standard support answers a full outage within 2 hours and other severities within 1 business day, while Premium Support is a paid add-on with targets of 1 to 8 hours and 24/5 coverage (checked 11 October 2026). Support is staffed on weekdays from the United States, Ireland and the Philippines through a web form or email, with chat on some plans. No phone line is listed. Maxio says every customer gets dedicated onboarding specialists.
Maxio states 2,000+ customers, $20B in annual billings and 5B usage events ingested a month (about page, checked 11 October 2026). Live sites have no cap on subscriptions or customers but allow 11,000 products and 10,000 components, and the Advanced Billing API allows 4 concurrent calls per subdomain with a 120-second timeout. Metering requires a US-hosted site, and Maxio Payments serves US, Canadian and Australian legal entities only. The invoice-based sync between Advanced Billing and Maxio Core is the first place to test at volume (Audit Friendly assessment).
One plan is published: Grow at $599 a month for up to $100k in monthly billings, with unlimited users (pricing page, checked 11 October 2026). Scale, the optional modules, Premium Support, onboarding packages and Maxio Payments rates are quote only. Vendr's public page gives a median contract of $45,900 a year across 39 purchases (reported). The public terms allow fee changes at renewal with 60 days' written notice.

Maxio is two long-running products under one brand. Advanced Billing is the former Chargify: catalog, subscriptions, usage, invoices, dunning and 21 payment gateways. Maxio Core is the former SaaSOptics: contracts, revenue schedules, deferred revenue, receivables and SaaS metrics. Battery Ventures combined them in 2021, and Maxio added quoting by acquiring RevOps.io in March 2025. The appeal for a controller is that ASC 606 schedules and ARR reporting come from the same vendor as the invoices, with native sync to QuickBooks, Xero, NetSuite, Sage Intacct and Rillet.
The catch is the seam. The two products are joined by a sync that works off invoices. Maxio's docs say records move between them as they change once the integration runs on a recurring schedule, and that an account left on manual syncing is only as current as its last sync (docs.maxio.com, updated 19 September 2026). The published Grow plan, $599 a month, stops at $100k in monthly billings and lists advanced revenue management, multi-entity and EU hosting as optional modules. Vendr reports a median contract of $45,900 a year across 39 purchases (reported; page last updated February 2026). Several newer features are gated: Wallets is labelled beta in the docs, Metering needs a US-hosted site and activation by Maxio, and the Maxio Core API is a per-account add-on documented only inside the app.
Before signing, have the order form name every module: advanced revenue management, A/R management, multi-entity, multi-currency, Enterprise SSO, the Maxio Core API, Premium Support and the onboarding package. Ask for a renewal cap in writing, because the public terms let Maxio change fees at renewal with 60 days' written notice. If Maxio Payments is in scope, get the interchange-plus markup, the reserve terms and the surcharging add-on price on the same order. Confirm how often Advanced Billing syncs to Maxio Core for the account.
Jobs, mapped to how finance teams actually buy.
Advanced Billing handles fixed, usage-based, milestone and hybrid plans with proration, coupons, customer hierarchies and consolidated invoices. Usage arrives as reported quantities, CSV imports or streamed events through Maxio Metering. Metering needs a US-hosted site and has to be switched on by Maxio.
Maxio Core builds revenue and deferred revenue schedules from contract start and end dates. The Advanced Revenue module adds SSP lists, carve-outs, reallocation rules and multiple revenue books, and compares a schedule before and after a change. Summary journal entries post to QuickBooks Online, NetSuite, Xero, Sage Intacct, Rillet or Campfire. On the Grow plan these advanced rows show a plus sign in place of a check.
A/R Management sends scheduled reminder emails from templates, tracks promise-to-pay dates and collection notes, issues statements and reports DSO and aging. Failed card and ACH payments are retried on rules the seller sets. The outcome figure is one named customer's account on the vendor's site; no independent source confirms a typical result.
The Subscription Momentum report shows opening, new, lost, expansion and contraction ARR or MRR, with churn, retention, cohorts and renewal rates alongside. The numbers come from the same contracts and invoices that drive revenue recognition. Maxio's count of 150+ metrics is its own, taken from its 17 July 2025 Sage Intacct announcement.
Maxio Payments, which runs on Adyen, added surcharging on 27 May 2026 as an add-on. Rules are set by state and card brand, the surcharge is shown before payment and ACH is offered as the alternative. The 80 percent recovery figure is Maxio's own claim from its July 2026 walkthrough video. The seller stays responsible for surcharge compliance under the payments terms.
With Maxio MCP connected, a finance user can ask Claude for open invoices, a customer's contract and payment history or a one-click report, under an Analyst or Bookkeeper role. Changes made through MCP show the agent and the person on the record's audit tab since 6 October 2026. Maxio advises human review before any billing change.

Here's what it really costs: published rates where a vendor lists them, aggregated quote data where they don't, plus a path to your own number.
Up to $100k in monthly billings. Invoicing, subscription management, usage-based and milestone billing, collections and dunning, standard reports, standard revenue recognition, 20+ gateways and the QuickBooks, Xero, NetSuite, Salesforce, HubSpot and Pipedrive integrations.
Over $100k in monthly billings. The plan grid shows every row checked, including advanced revenue management, metering and rating, multi-entity, expense amortization and the advanced A/R and reporting rows.
The pricing FAQ says there is no charge for users or seats. The docs cap paying accounts at 1,000 users in Advanced Billing.
The developer portal says API access is included on all plans at no charge. This covers the billing API, with seven official SDKs.
Maxio's own setup video describes MCP as free to use. It needs SSO on the account, and Enterprise SSO is listed as an add-on.
Advanced revenue management, A/R management, expense amortization, milestone-based projects, multi-entity, event-based billing and EU hosting are listed as optional modules with no prices.
Listed as add-ons in the help center. The Maxio Core API is enabled per account and its documentation is served inside the app.
Paid add-on that shortens response targets to between 1 and 8 hours by severity and adds 24/5 coverage.
Onboarding-assisted data migration needs a qualified onboarding plan or service package; professional services are ordered separately.
Optional gateway run on Adyen for US, Canadian and Australian entities. The markup is on the order form and the seller pays it. A reserve can be required.
Add-on for Maxio Payments customers, launched 27 May 2026, that passes card costs to buyers under state and card-brand rules.
Add-on that routes invoices to tax authorities; it needs a separate Avalara subscription and is enabled by Maxio on request.
The help center describes Maxio Core's link to Advanced Billing as an integration that syncs subscription details into customers, contracts, invoices and transactions (docs.maxio.com, updated 19 September 2026). The sync works off invoices, so a subscription with a future start date does not reach Maxio Core until its invoice exists. On a recurring schedule, the docs say Instantaneous Data Sync moves records as they change and the schedule acts as a fallback. If the account is set to manual syncing, someone has to start each sync, and revenue, ARR and ledger postings are only as current as the last one. Each product has its own API.
On the plan grid, performance obligations, SSPs, carve-outs, multiple revenue books, statements, DSO reporting, multi-entity and EU hosting show a plus sign under Grow where Scale shows a check, and no module price is published (maxio.com/pricing, checked 11 October 2026). Grow also ends at $100k in monthly billings. Vendr reports a median contract of $45,900 a year across 39 purchases (reported; page last updated February 2026), about six times the annual cost of Grow. Budget from a quote that names each module.
Maxio's 23 September 2026 press release says Wallets is now available, while the help article updated 9 October 2026 labels Wallets beta and asks customers to request access. Maxio Metering needs Advanced Billing on a US-hosted site and activation by Maxio. E-invoicing through Avalara ELR is an add-on that needs an Avalara subscription and is described as not available for public use. Maxio MCP needs Maxio to enable it and SSO on the account. Ask which of these are live on the plan quoted.
The developer portal says a maximum of 4 concurrent API calls can run per subdomain, and requests above that are queued and may return a 429 error (developers.maxio.com, checked 11 October 2026). Every request is cut off at 120 seconds, including time spent at the payment gateway. List endpoints return at most 200 items a page. The Maxio Core API is a separate add-on, and its reference is served inside the app, which makes it hard to review before purchase.
The public terms dated 4 April 2025 say fees are non-refundable and that Maxio may change them at the start of a renewal term with 60 days' written notice. Customers are responsible for exporting their data before termination, and Maxio keeps it for up to 60 days afterward. A full export from Maxio Core takes several separate list exports, and files attached to customers are not included. Maxio's FAQ page says card data stays in the gateway's vault, so a move needs a token migration arranged with the gateway.
The docs say Maxio Payments supports cards and ACH for US legal entities, and cards only for Canadian and Australian entities, with card acceptance in 20 currencies (updated 2 September 2026). Approval involves an eligibility call, a signed pricing schedule, prior processing statements for underwriting and a review of up to 48 business hours. The payments terms name Adyen as the processor and let Maxio require a reserve and change the settlement schedule. Companies with entities elsewhere need one of the other 21 gateways.
Scored on what an outside agent can actually reach: the documented API, how it authenticates, and whether the vendor ships an MCP server.
Exists: Yes. Maxio documents a first-party Maxio MCP server in its help center, with articles on setup, security, supported tools and example prompts (docs.maxio.com, last updated between 19 September and 9 October 2026). Maxio's 11 December 2025 press release announced general availability. The setup wizard generates a Maxio MCP Server URL that is pasted into Claude as a custom connector and authorized over OAuth, so Maxio hosts the server. Maxio has no entry of its own in the official MCP registry; the one Maxio-named entry there is a community package for local use published by Servosity (searched 11 October 2026).
Scope: Read and create. The docs list 29 tools (Audit Friendly count). The Analyst role is read-only: customers, subscriptions, the product catalog, contracts, invoices, payments, transactions, sales orders, projects and Maxio Core reports. The Bookkeeper role adds seven create tools: component, coupon, customers, product family, product, subscription and sales order. No update, delete, refund or credit tools are listed. Subscription creation is limited to remittance-style payment, and card and bank account details are not exposed. There is no field-level masking, so exposure is controlled by switching tools off.
Turnkey: Admin-configured, with prerequisites an administrator cannot meet alone. Maxio must enable the MCP feature for the account, the site must be linked to a Maxio organization, and SSO must be on because each request carries the user's SSO identity. Enterprise SSO appears in Maxio's add-on list. After that an administrator accepts the AI terms, picks a role and a client (Claude, ChatGPT or a custom MCP client) and connects with the generated URL. The docs call Claude the most capable client and say ChatGPT is restricted on create tools. Since 6 October 2026 the Audit Information tab on customer and transaction records names the AI agent and the person it acted for.
In-product AI: No assistant or agent inside the Maxio app appears in the help center or release notes (checked 11 October 2026). Maxio's subprocessor list names OpenAI and Google for optional AI-powered product features without saying which features. Maxio's own guidance treats MCP output as advisory and tells customers to keep human review on billing and financial changes.
Maxio announced Wallets, a ledger of prepaid credit and token balances with rollover, expiration and automatic top-ups. The help article updated 9 October 2026 still labels the feature beta.
Access rights, usage limits and service rights are defined in the catalog and returned through one API call; the release says Entitlements is available to all Maxio customers.
Surcharging launched as an add-on for existing Maxio Payments customers, with state, national and card-brand rules and ACH offered as the alternative.
Maxio announced general availability of its MCP server, with role-based permissions, OAuth, scoped tokens and audit logging for Claude and ChatGPT.
Customer, invoice, payment and revenue data flows from Maxio into Rillet's general ledger. The December 2025 release notes list the integration as beta.
Maxio launched a configure, price, quote product with templates, approval rules and CRM sync, following its acquisition of RevOps.io in March 2025.
That company is above the published plan. Grow is $599 a month for up to $100k in monthly billings, which is $1.2 million a year; a company billing about $417,000 a month is on Scale, and Scale is quote only (maxio.com/pricing, checked 11 October 2026).
The closest public marker is Vendr, which reports a median Maxio contract of $45,900 a year across 39 purchases (reported; page last updated February 2026). Vendr's guidance for buyers under $500K of monthly recurring revenue is roughly 20,000 to 40,000 dollars a year after the first year (reported). Treat both as context for a quote.
Users are unlimited at no charge. What moves the number is billings volume, the modules chosen (advanced revenue management, A/R management, multi-entity, multi-currency), Premium Support, the onboarding package and whether Maxio Payments is used.
For a smaller company at $100k of monthly billings, Grow's flat $599 compares with $620 a month on Stripe Billing's annual plan and about $749 a month on Chargebee Flow (Audit Friendly arithmetic from each vendor's published prices, 11 October 2026).
The order form sets the term. The pricing page says default agreements are paid annually, with premium options for monthly or quarterly payment and discounts for multi-year terms. The public terms dated 4 April 2025 make fees non-refundable, set payment at 30 days and let Maxio change fees at renewal with 60 days' written notice.
Exports are self-serve. Advanced Billing exports subscriptions, customers and transactions as CSV from the app, and its API exports cover subscriptions, invoices and proforma invoices. Maxio Core exports each list (customers, transactions, invoices, invoice line items) and its reports separately; the help center says a complete copy takes several exports, and Maxio asks customers with more than 50 pages of customers to request a batch extract.
Timing matters. The terms make the customer responsible for exporting before termination and say Maxio retains data for up to 60 days afterward. Maxio's FAQ page says card data sits in the payment gateway's vault and Maxio stores a token, so moving billing systems means a token migration arranged with that gateway.
Maxio says implementations typically take weeks and that a migration from Stripe Billing typically takes several weeks. It publishes no timeline by company size. Its VERO case study reports a first invoice on day two and a full migration in two weeks on the Rapid Start program, with partner Kruze Consulting involved.
The work is the product catalog, open subscriptions and invoices, payment gateway tokens, the Advanced Billing to Maxio Core sync, and the ledger and CRM mappings. A finance owner, a billing operations lead and a developer are needed on the customer side.
Small migrations can be self-serve: the CSV import handles about 200 basic subscriptions per file. Customer hierarchies, subscription groups, custom pricing, open invoices and prepayments go through Maxio's onboarding team and need an onboarding package. Sandbox sites can be cloned from a live site for testing.
Partly. Maxio MCP is a first-party server that Maxio announced as generally available on 11 December 2025. An administrator connects Claude, ChatGPT or a custom client with a generated URL and OAuth, after Maxio enables the feature and with SSO on the account.
Reading is broad: customers, subscriptions, the catalog, contracts, invoices, payments, transactions, sales orders, projects and Maxio Core reports. Writing is limited to seven create tools under the Bookkeeper role: component, coupon, customers, product family, product, subscription and sales order. Subscriptions created this way are remittance only.
The tool list in Maxio's docs has no tool to update or void a record, take a card payment, issue a refund or change a revenue schedule (updated 19 September 2026). Those steps need the app or the API. Maxio's guidance is to start read-only and keep a person reviewing any billing change.
