Today. Invoices land in a shared inbox, someone's personal email, the mail and vendor portals. Someone downloads each PDF and saves it somewhere.
With AI. Separates invoices from statements and questions, checks it isn't already queued. In: a vendor email with a PDF attached. Out: one invoice in one queue, tagged with its vendor.
Who decides. AI-assisted: AP checks anything flagged as unsure. AI-run: Only misrouted emails reach a person.
Control. One intake address per company, so nothing bypasses the queue.
Tools that do this. BILL (score 78): bills sent to one email address land in a central inbox. Dext (score 70): a unique email per business, and Fetch pulls invoices from supplier portals on a schedule. Vic.ai (score 75): VicInbox sorts vendor email by intent, live today.
Today. Retype vendor, invoice number, dates, amounts and line items into QuickBooks. Line items often get skipped.
With AI. Reads the header and every line, with a confidence level on each field. In: the PDF, a phone photo or a scan. Out: a draft bill, unsure fields highlighted.
Who decides. AI-assisted: A person checks each draft. AI-run: Only highlighted fields wait for a person.
Control. The original document stays attached to the bill.

With AI. Matches within your tolerance, flags duplicates, odd amounts, price creep and new bank details. In: the coded bill, open POs, receipts, vendor history. Out: a clean match, or a flag with its reason.
Who decides. AI-assisted: Every flag goes to a person. AI-run: Clean matches move on, flags go to a person.
Control. Only named users can change vendor bank details, and every change is logged.
Tools that do this. Ottimate (score 76): a Trust Score on every invoice, and line-level price variance. BILL (score 78): duplicate and unusual-amount flags in the approval queue. ApprovalMax (score 72): auto-approves fully matched bills, and partial matches go to a person. Lightyear (score 68): a Bank Details Checker against the supplier record.
Today. Email the PDF to the owner, chase twice, get a "yes" with no context on a phone.
With AI. Routes to the right approver, shows what's normal and the budget left. In: the matched bill and its vendor history. Out: a one-tap decision with context.
Who decides. AI-assisted: A person approves, with AI context. AI-run: A person approves. Clean bills under your limit can auto-approve.
Control. Nobody approves their own request, and each approval gets a timestamped audit record.
Tools that do this. Ramp (score 85): summarises vendor history and recommends approvals. Stampli (score 80): a question thread on each invoice, and it predicts approvers. ApprovalMax (score 72): budget check inside the request, and approvers need no QuickBooks seat. Its Approval Agent is in beta and never approves.
Today. Write checks, key ACH in the bank portal, decide who gets paid this week from a spreadsheet.
With AI. Orders the run by due date and discount, picks the rail. In: approved bills, due dates, terms, cash on hand. Out: a payment batch waiting for release.
Who decides. AI-assisted: A person releases the proposed run. AI-run: A person releases payments, always.
Control. Releasing a payment is its own step, kept apart from approving the bill. Use check fraud protection such as Positive Pay.
Tools that do this. Ramp (score 85): agents push card payments into vendor portals. BILL (score 78): up to 2,000 bills at a time by ACH, check, card or wire. Melio (score 73): pay by card when the vendor only takes ACH or check, for a 2.9% fee. Vic.ai (score 75): spots early payment discounts.
Today. Re-enter the payment in QuickBooks, match it to the bank feed, tick vendor statements by hand at month end.
With AI. Syncs the payment both ways, matches each statement line. In: the payment, the bank feed, the vendor statement. Out: a reconciled vendor, or a list of what's missing.
Who decides. AI-assisted: A person reviews every statement. AI-run: Clean statements close, gaps go to a person.
Control. A full audit trail from the email to the bank line.

“Checking on invoice 4471. Has it been paid?” Finds invoice 4471, reads its status and pay date, and writes the reply. AI-run sends it. AI-assisted drafts it for a person.
“We never got paid for March, please advise.” Finds the March payment, sees it cleared, attaches the remittance. A person reviews, because the vendor and the books disagree.
“We changed banks. Please send future payments to the new account below.” Never updates anything. Flags a possible fraud pattern and starts verification. A person, always, by calling a number already on file.
